Common issues
Why this matters

Roughly half of these clear in five minutes. Solved this way, the work order never happens and it costs nothing.

A seven-step process, start to finish

Every maintenance request is handled with precision, transparency, and professional care from the first message to the closed work order.

Key success factors

What actually drives operational excellence

Critical elements that make the difference between a process that exists on paper and one that holds up on a busy Monday.

Professional standards

The four rules behind every one of the above

These are the standards I hold myself to regardless of which property, which system, or which vendor. Give specific timeframes, not vague promises is the one residents notice most.

Clear communication, in practice / click a message

The messages I would bring with me

An improvement I made

I wrote the process down, so it stopped living in people's heads

At a previous company the same request could get three different answers depending on who picked it up. I built the SOPs and the template library that fixed that, and standardized one consistent voice across the team.

Before
  • Every coordinator wrote their own messages, so residents got a different tone and a different level of detail each time.
  • The process lived in whoever had done it longest. Handoffs lost context and new people learned by guessing.
  • No agreed response targets, so urgency was whatever the loudest email said it was.
  • Nobody could answer "what happens next" the same way twice.
After
  • A written SOP with the emergency matrix, the troubleshooting guides, and the seven-step workflow. The deck you are looking at is that document.
  • A template library covering every routine message, so the resident experience is the same regardless of who replied.
  • Response targets on the record, which means a miss is visible instead of arguable.
  • The role survives a handover. Someone can cover me without the portfolio noticing.

Drafted with Claude, ChatGPT, and Gemini and edited by hand. The tools sped up the writing. The standards are mine.

If you hire me

First 90 days

DAYS 1 – 30
Learn and absorb
  • Take over the open work order queue and clear the backlog
  • Meet the existing vendor bench and learn who you actually trust
  • Baseline current response times so we know where we started
  • Learn your properties, your standards, and your thresholds
DAYS 31 – 60
Fit the SOP to Freedom
  • Set the emergency matrix and response times against your properties and Minnesota winters
  • Adapt the template library to your voice
  • Publish the troubleshooting guides to residents so the easy ones never become work orders
  • Ship the first weekly maintenance recap to you
DAYS 61 – 90
Get ahead of it
  • Preventive schedule per property so seasonal work stops surprising us
  • Recurring issues brought to you with a fix, not just a report
  • Automate the repetitive follow-ups and the recap assembly
  • SOP documented for Freedom so this role survives me being on leave

What I would like to understand

Questions for you

1
How many units and work orders a month am I picking up, and what does the current backlog look like?
2
Is the vendor bench established, or is building and vetting it part of this role?
3
What is your approval threshold, and how do you want to be brought spend decisions?
4
How are after-hours emergencies handled today, and would that path be mine?
5
What does a great first 90 days look like from your side, and how would you measure it?
Thank you

I would like to take maintenance off your plate entirely.
